Integrate your Microsoft Dynamics data with Crossbeam.

Learn how to connect your Microsoft Dynamics data to Crossbeam.

In this article:

❗️Important

You must have a Microsoft Dynamics 365 License to assign requirements to users.

Company admins need to go to admin.microsoft.com to assign users with the following requirements:

  1. In terms of Record-level privileges they would at least need Read privilege.

  2. Access level would need to be Basic or higher.

  3. The user/role that is used to setup the MS Dynamics connection should have authorization to generate an access token and refresh token for API.

Once the Microsoft Dynamics admin has completed the authorization you will be prompted to sync data in Crossbeam.

Connect your Data Source

  1. From the left-side Navigation Menu, click on the Data icon. This will open the side panel for Data & Sharing, select Data Sources from the panel options, and your workspace will display the Populations area.

  2. Scroll to the Add a Data Source section and click the Microsoft Dynamics tile.

Click Connect Microsoft Dynamics to confirm that you would like to create a Microsoft Dynamics connection. Then, confirm the instance you wish to use to authorize Microsoft Dynamics as a Crossbeam data source.

❗️Important

Once the Microsoft Dynamics admin has completed the authorization you will be prompted to sync data in Crossbeam.

Sync Data Options


REMINDER: No data is being shared at this point. This step is simply syncing your selected data points to Crossbeam. Later you will be able to decide what to share (or not share).


Once Microsoft Dynamics is connected to Crossbeam you will be prompted to select from three sync options:

  • Required: the limited amount of fields you are allowed to sync

  • Recommended: the best option to maximize the full value of Crossbeam features

  • Custom: customize how much or how little data you want to sync

After selecting your syncing option you will be prompted to review the fields. You can click Sync Now or Customize within all three options.

How to Customize Sync Fields

  1. From the Review Fields pop up, click Customize

  2. On the Customize Fields pop up, expand any of the tables under All Data by clicking the drop down arrow next to the table name or use the search bar to find fields. Under Data Presets you can also explore suggested fields base on your business focus.

  3. Select or deselect any of the fields to customize your data. You can also click the Toggle button to turn entire tables on or off.

  4. Click Review fields and select Sync Now to complete the the data connection.

  5. Or click Go Back to edit your changes before completing the sync.

Back on the Data Sources page, the Microsoft Dynamics row will display Setting up while the sync is in process for a few minutes. Once the sync is complete you will see Microsoft Dynamics listed as Active.

Reauthorize Your Connection

You may need to reauthorize this connection if the user who initially authenticated the connection loses access to Microsoft Dynamics or no longer has the required permissions in place to sync data.

To reauthorize this connection, first ensure you have the proper Microsoft Dynamics permissions in place to authorize this connection. Next, select Reauthorize to authenticate the connection with a different username and password.

Pause Data Sync

Use the toggle to the right of Sync Data from Microsoft Dynamics to easily turn this sync on and off.

When the toggle is green and it says Active next to Connection Status, your connection is active.

When the toggle is grey and it says Not Syncing next to Connection Status, your connection is paused.


❗️Important
You will not be able to select or remove fields while the sync is paused. Turn your sync on in order to make adjustments.

View Connection Status

The connection status appears within the Microsoft Dynamics Settings menu and also on your Data Sources page.

  • Active: the integration is active and will sync according to your sync frequency.

  • Not Syncing: the integration is paused and will not sync data until it is made active.

  • Error: the integration hit an error and is unable to sync. If available, details on the error will appear here.

✍️ Note

If you don't see an error message, and your sync is not behaving as expected, please reach out to us through chat or at support@crossbeam.com.


Adjust Sync Frequency

You can adjust the frequency at which Crossbeam syncs data from Microsoft Dynamics by selecting a value from the Update Frequency dropdown menu.

Change Which Fields to Sync

You can add or remove fields by clicking Edit Data Sync, which will take you back to the Customize modal from the initial sync.

❗️Important
Don't panic! It will take a few minutes to fully sync newly selected fields into Crossbeam. Before that, you will receive an error and/or unexpected results if you try and use the field to filter.
