Create and Manage Sharing Presets

Shape your data sharing strategy with Sharing Presets as a flexible, scalable way to control exactly which fields your partners see.

Overview

Field Presets let you define which fields are visible to your partners and then reuse those settings across Populations and partners. They're especially useful for customizing access for different types of partners (like tech vs. channel).

What is a Field Preset?

A Field Preset is a saved set of fields that you choose to share with partners. Instead of configuring sharing one partner at a time, you can create a preset once and apply it broadly.

A Field Preset can be shared across multiple partners. Editing a preset changes the fields shared with everyone currently using it.

When can I use a preset?
Presets are only available if a Population's sharing level is set to:

  • Overlapping Accounts

  • All Accounts

✍️ Note

Wherever you apply or adjust a field preset—creating, applying, bulk applying, or editing—you'll select it from a dropdown menu. Next to each preset option in the dropdown is a pencil icon—click it to edit that preset directly.


How to Create a New Field Preset

You can create a Field Preset from several places in Crossbeam.

From any of the locations below, select Manage > Create Field Preset, then name the preset, select the fields you want to share, and click Create.

Option 1: From Data Sources

  • Click the settings gear icon on a data source

  • Click Field Presets

Option 2: From the Sharing Dashboard

  • Click Partners in the navigation bar and select Sharing Dashboard

  • Under Your Population Default Setting, click the pencil icon next to the Population

  • Under Field Presets for Selected Population, expand the dropdown

Option 3: From Data > Populations

  • Click Data in the navigation bar and select Populations

  • Click the Partner-specific Sharing option from the three-dot menu in the Population's row

  • Locate the Field Presets for the Selected Population

Option 4: From the Sharing Hub

  • Click Data in the navigation bar and select Sharing Settings

  • Click into a Population to see how the Population is being shared with partners

  • Click the field preset in the row to edit


How to See Which Partners Are Using a Preset

Before editing a preset, check who's currently assigned to it, since editing it will affect every partner using it.

  • Click Data in the navigation bar and select Sharing Settings

  • Click into the relevant Population

  • Use the Field Preset filter to see everyone currently assigned to it

Additionally, you can check this per partner from the Partner List > Partner Detail Page > Settings.


How to Review All Existing Presets for a Data Source

  • Click the settings gear icon on a data source

  • Click Field Presets to see the full list of presets created for that source


How to Apply a Preset to a Partner

You can apply a preset to a partner when editing an existing partner's sharing from their Partner Detail Page or when first connecting with a new partner.

From the Sharing Dashboard

  • Click Partners in the navigation bar and select Sharing Dashboard

  • Under Sharing Settings with Partners, find the partner and click Edit in their row

  • Adjust the field preset (via the dropdown) and sharing level as needed

From the Partner Detail Page

  • Click Partners in the navigation bar and select the partner

  • Go to Settings

  • Adjust the field preset (via the dropdown) and sharing level as needed

From the Sharing Hub

  • Click Data > Sharing Settings, then click into the relevant Population

  • Locate the partner and click the Field Preset dropdown

  • Click Manage to create a preset or select a preset for that partner

When Connecting with a New Partner

When accepting a new partner's invite, you can review and adjust your sharing settings before connecting. See Accept a Partner Invite for details.


How to Bulk Apply a Preset to Multiple Partners

  • Click Data > Populations

  • Click the three dots menu next to the Population and select Partner Specific Sharing

  • Check the box next to the partners, click Bulk Edit, and apply the same preset (via the dropdown) and sharing level at once

  • Click Save

How to Bulk Apply a Preset to Multiple Populations

  • Click Data > Sharing Settings

  • (Optional) Use the filter bar to narrow by Population type, sharing level, or field preset

  • Select the Populations using the checkboxes

  • Click Bulk Edit and apply the same preset (via the dropdown) and sharing level at once

  • Click Save

✍️ Note
Bulk editing Populations only changes each Population's default sharing level and preset. Partners who already have a custom override keep their existing settings.


How to Edit an Existing Sharing Preset


‼️ Important

Before editing a Sharing Preset, check which partners are currently using it—see How to See Which Partners Are Using a Preset above. Editing a preset changes it for every partner assigned to it.


Open the field preset dropdown anywhere it appears (creating, applying, or reviewing presets), and click the pencil icon next to the preset you want to edit.

  • Adjust the fields as needed

  • Click Create to save the updated preset

How to Delete a Sharing Preset

You can delete a Field Preset anywhere you can access the Manage button.

  • Open the field preset dropdown and click Manage (or the pencil icon) next to the preset you want to delete

  • Scroll down to Delete Preset

  • Click Delete

✍️ Note
Deleting a preset is permanent. Any Populations currently using the deleted preset will automatically switch to the Crossbeam Default preset.
