Using Data Sharing Presets in Crossbeam

Shape your data sharing strategy with Sharing Presets as a flexible, scalable way to control exactly which fields your partners see.

Overview

Sharing Presets let you define which fields are visible to your partners, and then reuse those settings across Populations and partners. They’re especially useful for customizing access for different types of partners (like tech vs. channel).

What are Sharing Presets?

A Sharing Preset is a saved set of fields that you choose to share with partners. Instead of configuring sharing one partner at a time, you can create a preset and apply it broadly.

When can I use a preset?
Presets are only available if a Population’s sharing level is set to:

  • Share Overlaps

  • Share All


How to Create a Sharing Preset

Click on Data in the navigation bar and select Populations from the dropdown.

  • Click the Pencil icon next to the Population’s Sharing Settings

  • In the modal, set the sharing to Share Overlaps or Share All (if it isn’t already)

  • Click on the default Recommended Fields Preset, click the eye icon to preview suggested fields or to edit them

  • To create a new preset, click Create Field Preset

  • Name your preset, select the fields you want to include, and click Create

Your new Sharing Preset is now saved and available to apply across partners.

😎 Pro Tip

Use Partner Tags to group partners by type—like Channel, Tech, or Strategic—so you can easily apply your new preset by filtering tags on the Partner List. After filtering, click the Settings for each partner and update the Sharing Preset as needed.


How to Edit an Existing Sharing Preset

Before editing a Sharing Preset, it’s important to check which partners are currently using the preset. This ensures you’re aware of who will be impacted by your changes.


From the navigation menu, select Data, and click on Default Sharing. Review the Default Sharing workspace to see which partners are using the preset.

  • Click the Partner icons next to each Population to view partners using the current preset

    • Check the Other tab to identify partners with custom or hidden settings

Once you're confident about making changes, click on the current Sharing Preset.

  • Click the pencil icon to open Sharing Preset

  • Click the preset dropdown and select the preset you want to edit

  • Make changes as needed

  • Click Create to save the updated preset

Additional Editing Options

  • Adjust Global Default Sharing Presets:
    To change a preset applied globally to a Population, go to Data > Populations, click the Sharing Settings pencil icon, and adjust the Sharing Preset there.

  • Edit at the Partner Level:
    You can also apply or adjust presets for specific partners from the Partner Detail Page.
