Switching from the Legacy Integration?

If your Integrations page shows both Salesforce Custom Object (the legacy version) and Salesforce Overlaps Push (the updated version), then you should plan to move to the updated version.

FAQs:

  • How do I make it so that my team members in Salesforce can see the new Custom Object?

    • First, ensure you have the most recent Crossbeam managed package. Follow the steps in the Upgrade & Reauthorize Crossbeam for Salesforce guide to complete any upgrades. Then, go to the Integrations page and authorize the Salesforce Overlaps Push integration. Once the new integration is authorized and testing is complete, make sure the legacy Salesforce Custom Object is turned off by navigating to the Crossbeam Integrations page and toggling "Enable Push" off.

    • Please note that the initial sync for the new custom object will consume Bulk API calls.

  • Does the current permission set Crossbeam Report User allow access to the new custom object?

    • Yes. The managed package will allow any users with the permission set Crossbeam Report User to see all Crossbeam reports.

  • Will I be able to copy over their current config for custom object?

    • No. You will need to note your current configuration for the legacy "Crossbeam Overlaps" object and and copy that over to the new "Crossbeam Ecosystem Overlaps" object.

Initial Record Exports will contribute to the overall Record Export Limits.

Prior to enabling the push of data from Crossbeam to Salesforce, assess the number of records in your Populations and consider applying more filters to narrow the scope. Be sure to configure which Populations and Partners you select for the push to Salesforce.

Failure to do so may cause your account to quickly hit its Record Export Limit.


Getting Started

Open the Integrations Workspace in Crossbeam. Under Integrations, locate the Salesforce overlaps Push tile, and click the Install button.

After you click Install, a pop-up window will walk you through the steps of authorizing a connection between Crossbeam and Salesforce.

Confirm the correct Crossbeam account is being connected, click the pencil to make edits. Click Next.

Follow the prompt to download the Salesforce custom object package. This is required to complete the installation process.

Follow this guide to install and configure this package.

After setting up the custom object package in a new window, return to the configuration window, and click the Next button. Next, click Finish.

Data sync may take up to an hour to complete.

You will now see the installed Packages in Salesforce.

If you exit the setup flow early, you'll see an error state in the side drawer. See the next steps below to complete the necessary steps in Salesforce:


Select Crossbeam data to send to Salesforce

Once you have installed the managed package, you can configure what will be pushed to the Salesforce custom object. Navigate to the Crossbeam Integrations page and click the Set Up button in the Salesforce Overlaps Push integration tile. Select or de-select your populations and partner populations accordingly. Click Save Changes.

Once you save changes, a job will be kicked off to fill your custom object with all of your selected overlap data!

Reporting on Crossbeam data in Salesforce

The data pushed from Crossbeam into Salesforce enables you to enrich your Account, Lead, and Opportunity reports with partner ecosystem data. Crossbeam report types in Salesforce can include:

  • Partner Name

  • Partner Population

  • Partner's Record Owner Name

  • Partner's Record Owner contact information (email and phone)

Creating a report

  • Go into Salesforce Reports and click New Report.

  • To select a report type, search "Crossbeam" and choose from the following Report Types:

    • Crossbeam Ecosystem Overlaps

    • Crossbeam Ecosystem Overlaps with Account

    • Crossbeam Ecosystem Overlaps with Leads

    • Crossbeam Ecosystem Overlaps with Opportunity

"Crossbeam Ecosystem Overlaps..." are the report types you will want to use. You can hide the report types from our legacy integration following this guide.

  • Configure your report to include specific data fields and filters. For the purposes of viewing all available Crossbeam data, we suggest configuring the report as follows:

    • Group Rows

      • Account: Account Name

    • Columns

      • Standard Populations

      • Population

      • Partner Standard Populations

      • Partner Population

      • Partner Record Name

      • Partner Name

      • Partner AE Name

      • Partner AE Email

For example: If you create, Accounts with Crossbeam Ecosystem Overlaps Report, it will look something like this:

Viewing Crossbeam data in Salesforce Classic

With Crossbeam pushing and storing overlap data in a custom object in Salesforce, you can view Crossbeam ecosystem overlap data on Account, Opportunity, and Lead pages in Salesforce Classic.

❗️Important

  • The Crossbeam Salesforce App must still be setup in Lightning. The Crossbeam Widget is still only viewable in Lightning.

Simply add Crossbeam's custom object Crossbeam Ecosystem Overlaps as a related list to the Account, Opportunity, and Lead page layouts.

Push Frequency and Load on Salesforce

Push Frequency

Data is pushed into Salesforce at the frequency at which you have your data set to sync in your Salesforce settings. This is configurable and can be anywhere from every 30 minutes to once a week.

Load on Salesforce

We use the Bulk API to bulk sync 5,000 records at a time. The amount of API calls depends on two things:

  1. Is this the initial Salesforce sync? If so, we will be creating a custom object for every single one of your overlaps. The initial syncs are always the heaviest. Subsequent syncs will only push over net new (or updated) overlaps.

  2. How many overlaps do you have? You can see your total number of overlaps in the Billing section of Crossbeam.


FAQs

Are there any custom fields on standard Salesforce objects?

No, all of our data gets pushed into our Crossbeam Ecosystem Overlaps custom object which has Lookup fields to Account, Opportunity, or Lead, depending on the record type.

What overlaps are pushed into Salesforce?

From Crossbeam, you can customize what data is shown in the Crossbeam Widget, as well as the Custom Object to minimize noise and be specific around which partners and populations feed back into Salesforce. The initial sync tends to be the largest, but subsequent syncs will only be for new overlaps.

I received an email from Crossbeam that the push to Salesforce has failed because of an expired token. What should I do to refresh the token?

Occasionally, the token from Salesforce will expire, and you will need to re-authorize it by going through the app installation steps to solve the problem. You can find steps to re-install the app here.
