Understanding Record Exports

Understand Record Export limits in your Crossbeam account.

What are Record Exports?

The Free plan does not support record exports.

If your partner is on a Supernode or Enterprise plan, you'll automatically receive an Account Mapping Pass, allowing you to export up to 100 records.


Record Exports allow users to transfer enriched data from Crossbeam, gathered through account mapping activities, and transfer it to external platforms, such as data warehouses (e.g., Snowflake), integrations, and CRMs for further analysis.

Each record is counted once per subscription term, regardless of the number of integrations, destinations, partners, or overlaps. Even if a record undergoes multiple updates within that subscription term, it still counts only once.

✍️ Note

The Record Exports permission is enabled by default for users. If you want to restrict record exports, you'll need to manually change this setting to No Access by editing the Record Export permission in Crossbeam.


Estimated Exports in Integration Settings

From the Integration workspace, open the integration settings to see an estimated number of Record Exports. These estimates are designed to help users understand the potential impact on their Record Exports before finalizing the data push options in your settings.

How Estimates Are Calculated:

  • The estimate is based on the number of matches found

    • The estimated number does not reflect the exact number of unique records that will be exported when settings are saved

As a result, the estimated export count is often higher than the actual number of records deducted from the user’s export limit.

Slack Integration, all Crossbeam Copilots, Crossbeam for Sales are excluded from the Record Export limits.

✍️ Note

Your Record Export limit resets annually based on your contract date. To increase your limit, visit Plan & Billing and click Talk to Sales.


Record Exports and Net New Accounts

  • The New Accounts for You List contains Net New Account records that will count towards record export limits

  • Records on New Accounts for Your Partner List will not count towards limits because these are records that already exist in an org's data source

CSV file and Google Sheets

  • Adding a new CSV and/or Google sheet data, will be counted as new records

  • Updating and/or deleting current CSV or Google Sheet data will not count as new records

  • If you delete a CSV or Google Sheet and later upload the same CSV or Google Sheet, this will count as a new CSV or Google sheet data, and will be counted as new records


Monitor Record Export Limit

Record Export Limit Trackers

On the Plan & Billing, Integrations, and Populations workspaces, you will find a Record Export Limit alert banner when you have used 90% of your Record Export limit. When your account reaches 100%, the integration data flow will be disabled.

  • Click on the Learn more button from any workspace to see the detailed Record Export Summary

  • Click the Contact us button to increase the number of Record Exports in your account

Record Export Summary

Go to Settings, click Plan & Billing and scroll to the Record Export Summary section to see the allotted amount of record exports, the remaining record export amount and plan renewal date.

  • On the Integrations and Populations pages, locate the Record Export alert banner. Click the Learn more button to see a detailed summary of Record Exports.

In the Record Exports Summary, users can view:

  • Integrations: See which integrations receive data and the unique records sent to each

    • Click the arrow to open integration settings and adjust exports

  • Unique records by Population: Track unique records by Population to manage export limits

    • Click the arrow to edit Population filters.

  • Usage alerts: Yellow and red banners appear at 90% usage and when limits are exceeded, prompting you to contact Crossbeam Support

  • 14-day export activity: View recent export volume (not unique records) and where exports were sent

  • Recent Exports table: Sort exports by Date or Exported to

  • Learn more: Access the Help Center article or Crossbeam Academy for additional guidance

This Record Exports Summary allows users to monitor and manage exports more efficiently.


Maximize Record Exports

❗️Important

The initial Record Export when setting up an integration will also count towards the Record Export limit for your account.

Crossbeam Record Exports can be monitored here. Once you hit the Export Limit, Crossbeam insights will stop flowing into external tools and Lists can no longer be exported.

Tips to Maximize Your Record Exports

  • Filter your lists before exporting to make sure you're only pulling the Crossbeam insights you need. Learn more about list filters.

  • Adjust your integration settings to control which records and Populations are sent to each external tool. Manage in Integration Settings.

  • Use Crossbeam Copilot to surface insights directly in your GTM tools—no export needed. Learn more about Copilot.

  • Use the Account Mapping Matrix to view overlap data and build quick lists without exporting any records. Learn more.

  • Build Populations from CRM data and avoid CSV uploads when possible—every row in a new CSV counts as a new record, even if the account was exported before.

Notifications

Banner Notification

Crossbeam notification banners will appear in the app when 90% or 100% of the data limit has been met.

Click the Talk to Sales button to increase the number of Record Exports in your account.


Email Notification

An email will be sent to an Admin user once an account has exceeded 75% of the Record Export limit.

Click the Review my Account button to be redirected to your Crossbeam account and explore your account options.


FAQ

What happens to integrations when an account hits its limit?

When an organization reaches its limit, data exports are blocked, and updates to existing exported data are halted. Integrations are paused completely, with no further CSV exports allowed. Your record export limit will reset annually based on your contract date.

Can I control users' access to List exports?

Yes. Access to List exports is determined by user permissions. You can adjust permissions to control who can export records. Learn more about permissions here.
